Sharing the SmartOB Prenatal Forms

Sharing the SmartOB Prenatal Forms allows multiple individuals to open the same forms from different locations and enter data at the same time . The SmartOB Prenatal Forms may be shared.

Sharing the SmartOB Prenatal Forms has the following limitation:

• You cannot access the Preferences Sheet or the Tracking Log when the SmartOB Prenatal Forms are SHARED. This is not a major problem as there will rarely be a need to access the Preferences Sheet once it is set and you may not ever need to access the Tracking Log. If you do ever need to access one of these sheets, it is a simple matter to stop sharing the SmartOB Prenatal Forms. However, if you save the forms in their SHARED state and your License expires, you will not be able to Stop Sharing the Forms as that requires a Save and thus, you will never be able to view the SmartOB Tracking Log on those Forms in the future unless you purchase another License.

Of course, the reason to share the forms is so that multiple individuals can enter data into the forms at the same time without having to close and reopen the forms. That said, from a practical point of view, I have never shared the forms in my practice and have never found a need to do so. I have found that there is little data that needs to be entered by the medical assistant (MA) (i.e., weight, B/P, urine dipstick) and that it was easier for me to enter the data than the MA's during the visit.

Nevertheless, if you feel that sharing the forms will be an asset to your workflow, the SmartOB Prenatal Forms have been designed for you to have the option of using them in a shared workbook.

To SHARE the Forms in Excel 2003, under the Tools Menu, select Share Workbook, then check the box next to Allow changes by more than one user at the same time. Or you may choose to protect and track changes through Excel by selecting Protect and Share from Protection under the Tools menu. You may password protect the workbook changes with this option.
To SHARE the Forms in Excel 2007, select the Review TAB and then select Share Workbook, then check the box next to Allow changes by more than one user at the same time. Or you may choose to protect and track changes through Excel by selecting Protect and Share Workbook. You may password protect the workbook changes with this option.
To STOP SHARING the Forms, simply follow the above and uncheck the same boxes (This requires an unexpired License).
